Microsoft 365, Collaboration and Productivity Tools Available through the Cloud

Microsoft has always been at the top when it comes to software development. Whether it’s the Windows OS or the applications like Microsoft Office, the company has built a successful reputation and has maintained its dominance throughout the years. The success of Microsoft hasn’t stopped competitors from trying to achieve the same public perception, for example Google Docs. Google Documents enable users to create documents, spreadsheets, presentations, and drawings from any location using cloud computing.

The new direction in cloud based computing may have drawn in a few of Microsoft’s customers however that was before Microsoft released its own cloud based software. Tuesday June 28, 20111 CEO Steve Balmer announced the worldwide availability of Microsoft Office 365, a collection of the Office, SharePoint, Exchange, and Lync software all available on a cloud service.

Office 365 offers users the most recognized productivity and collaboration tools through the cloud for a monthly subscription. Microsoft may not have been the first to offer these cloud based services but given the fairly new trend of cloud computing and Microsoft’s strong reputation, they are likely to remain ahead of their competitors. Google Docs does however offer one advantage to their individual users, it’s free! When facing opposition from software that is offered for free the quality and extra features of Microsoft become the major selling point for many customers.

Beta testing for Microsoft Office 365 began over a year ago and has earned high praise from the businesses who had signed on to try it. The test included over 200,000 organizations, most of which reported a boost in productivity while reducing their IT expenses. Office 365 is designed for all types of businesses and comes in a variety of pricing plans. The professional/small business edition is perfect for organizations with less than 25 workers and limited IT needs. This Professional Plan is $6 per user per month and comes with 25GB storage, 25MB sharing using Exchange, Access to Office web apps, Mobile access, document sharing with SharePoint, Desktop sharing with Lync, and premium Anti-virus and spam filtering. For larger businesses that need more IT assistance there is the Enterprise Edition which is offered at $10, $16, $24, and $27 per user per month depending on what features are necessary for your business.

 

  • Collaboration:

With Office 365 users can achieve a new level of connectivity by using instant messaging and video chat for virtual meetings. These features enable users to remain on the same page and work more productively. The cloud service now allows multiple users to work on files at the same time, share ideas, share calendar items, and work together with ease from any location. Using Microsoft exchange, SharePoint, and Lync will also enhance the communication and collaboration through document sharing and desktop sharing.

Infrastructure as a Service Could Be the Answer to your IT Needs

Paying for information technology hardware and software can be costly. Okay, it is costly. Getting your business the tech it needs to thrive in today’s economy is necessary to success. However, odds are you don’t have the budget for several servers, a full time IT guy/gal, and all the other things that go along with it. Enter, Infrastructure as a Service (Iaas).

IaaS allows for companies to outsource their need for technology to bigger companies. It’s a lot like renting, except there is rarely physical hardware involved on the client’s end. IaaS uses Cloud Computing methods to connect the client, you, with a networking infrastructure somewhere else. That’s right, it uses the Internet.

Now, the benefits here are obvious. You get virtual machines that behave like physical machines, only for a fraction of the cost and sometimes, with little or no software maintenance required. That’s a big perk. You get reliable service combined with systems that you only pay for when you use them. Savings = huge. However, there are also downsides.

Okay, well I say downside(s), but the biggest one you have to worry about is availability. While the company you’re contracting is certainly going to guarantee you almost non-stop access, what you need to worry about is your own Internet access. The fact of the matter is that if the Internet connection goes down between your home/office/moonbase and theirs, you are without your precious service.

All in all, you need to examine what works best for your company. If you can’t afford to upgrade your tech right now, maybe consider IaaS as a good stopgap. Some of the major cloud computing service providers include Amazon, Google, HP, IBM, Microsoft, Salesforce, and Skytap

Sharing data around the office is crucial in today’s workplace. While sharing data has always been important, what’s changed is how we think of a workplace. In the past there might have been an office of 15 people working at a single location. Now there could be 25 people, only 5 of which share an actual physical space. The rest can be telecommuting, working on the road, etc. Sharing information now becomes much more complicated. Fortunately, there are services to help lighten the load.

Apple’s MobileMe Service

MobileMe works best when you have more that just documents to share. MobileMe provides for just over 10GB of online storage, as well as syncing of Dock shortcuts, Contacts, Calendars, and more. The only storage, called iDisk, can be mounted/mapped to your desktop so dragging/dropping of files is easily done. Once completed, devices like iPhones and iPads can access any file stored on the iDisk with a free app, provided the files are under 30MB. The service offers a free 60 day trial and after that is only $100/year. It comes with an email address at “me.com”.

Google Docs

Google Docs is a great, free way to enable collaboration online. You can store any type of file online (up to 1Gb free), upload and edit Office-style documents, and share both with friends and family. The real benefit here is the ability to edit workplace documents, like Word/Pages files, in real time with other people. This makes it great for people who have to collaborate on a project. You are notified who else is viewing a document, and the changes are viewed in real time. Google Docs requires a Google Account, which is free.

Microsoft Office Live

Office Live allows for users to store Microsoft Word, Excel, and PowerPoint files online. You download a free update for your Microsoft Office products and then it allows you to save data to their servers (5GB free). The files can then be shared with others. While this service is free, it can only be access through newer version of Microsoft Office. While you likely have these programs already, you may want to consider purchasing the software as part of the price tag for this service.
