Human memory can only hold so many things

Science has proven again and again that we have limitations. One of the most notable ones, which we can all agree upon, is the limit of our memory. The human mind can only recall so much data in a limited amount of time. We can leave notes and things to assist in the process, but even those only go so far. Realizing that we have memory limitations can go a long way in proper organization of our workspace. Don’t overload yourself with too many file folders and storage locations. Otherwise, you’ll spend too much time trying to remember where you put things.

Clearing Desktop Clutter

Organizing icons into folders is a great way to sort out your programs and files. This is more for your computer desktop than anything else. By having files sorted out by their purpose, you will be able to access them quickly. It is important here not to create a labyrinthine structure for the sake of organization. You’ll quickly find that it is more of a hindrance than helpful.

Learning Keyboard Shortcuts

Keyboard shortcuts are the key to getting things done faster on your computer. Whether you use Mac, Windows, or Linux, there are keystrokes that will enable you to get work done faster and accomplish simple tasks in a fraction of the time. Some good ones to know are: “CTRL + C” for Copy, “CTRL + V” for Paste, “Command + Q” (Apple) and “ALT + F4” (Windows) to close a program, and “Command + N” or “Control + N” for a new item. These shortcuts can help a lot in your daily computer usage and are almost universally employed.

Virtualization is a growing trend in today’s IT industry. The concept is simple, though it may appear more complicated than it looks. Virtualization takes one, powerful system, and allows the user to simulate multiple systems. This can be a great tool for medium sized businesses. Small businesses may see some of the benefits, but it may be a little too costly. This week we will focus on some of the benefits of Virtualization.

One of the biggest benefits of virtualization is the savings on hardware. If your business requires multiple servers to accomplish business goals, i.e. an email server, an Active Directory Server, etc, then virtualization is the right option for you. You won’t have to purchase separate machines to accomplish this.

Another benefit of Virtualization is saving space. In the past, server rooms took up a lot of space. Often, they would require their own rooms. However, with virtualization, you can consolidate all those machines into one server rack. This means a whole room of computers might be stored in a single tower.

There are many more benefits to virtualization, but including them all here would turn this into a research paper. Next week, we’ll go over some of the cautions of using virtualization.

Preventing Scope Creep in Your Small Business Plans

Scope creep is something that affects every business, no matter what size. You begin with a simple goal in mind and before you know it, the project is massive. You begin the project and some seemingly great ideas come up along the way. However, it doesn’t matter how good the ideas are. If they are not absolutely necessary to the main project’s completion, they need to be stored for later. Here are two tips for preventing scope creep.

Clearly Define Project Parameters

Clearly defining the parameters of a project is incredibly important to its success. If you don’t have a solid plan in place, this is the first place you will begin to see scope creep. You might have a great idea about how to get your product or service on the Internet. Then, you realize that you could do so much more at the same time if only… And that’s how it happens. Create a blueprint for your project to prevent it from growing outside of your control.

Create a Change Authorization Structure

This is more for larger companies but it can work for a company of any size, if done correctly. All you need to do is establish a chain of people who must sign off on changes to a project. This is, of course, easier to do when you have a massive company. However, if you are a small business owner, pick one other person to run ideas by to make sure they line up with your project’s goals.

Google Docs – A Solution for the Businessperson on the Go

Google is a household name these days. Everyone knows them and uses their services. Most people use their search engine, but not everyone knows about their online office suite of applications. Google Docs is their solution for the businessperson on the go. All you need is a computer and an internet connection.

The first benefit is that all your documents are stored online. You don’t have to keep anything with you. Literally nothing. You don’t even need a USB drive. They offer complete storage as well as a suite of tools to edit your documents. Spreadsheets, Text, and Presentations are all available in your browser and can be exported to Microsoft Office, Open Office, etc.

The second benefit is that you can share documents without the need for more technology. Whereas a company might have to buy a VPN to allow for sharing of documents online, Google Docs lets you list people with whom you’d like to share specific documents. All it takes is a Google account, which is free.

The third benefit, of many, is the cost. This is all offered for nothing. Google allows you to upload whatever files you want, edit Office documents as you please, and share them with others at no cost to you. Microsoft is planning on releasing a similar option in the near future, though details are a little sketchy at this point.
